Privacy Policy

ResumeGrade is built for students and placement teams. We take privacy seriously, not because a policy document says so, but because the people using this product are trusting us with real career information. This policy explains what we collect, how we use it, and what control you have over it.

Who this policy applies to

This policy applies to everyone who interacts with ResumeGrade, including students who upload resumes, placement officers who use the university portal, and visitors to our marketing website. Where practices differ between these groups, we say so clearly.

What we collect

We collect only what we need to provide the service. That breaks down into a few categories.

Account information. When you sign in or are added to the platform, we store your name, email address, and the institution you are associated with. Students registered through a university portal are added by placement staff, not self-registered.

Resume content. When a student uploads a resume, we store the file and the extracted text so we can analyse it. This content is used solely to generate scores, feedback, and readiness signals. We do not share resume content with employers or third parties.

Usage data. We log basic interactions such as page views and feature usage. This data is aggregated and helps us understand how the product is being used so we can improve it. We do not build individual behavioural profiles for advertising.

Device and connection information. Standard web server logs record your IP address, browser type, and the time of requests. This information is retained for a limited period for security and debugging purposes.

How we use your information

We use your information to operate and improve ResumeGrade. More specifically:

  • To generate resume scores, feedback, and readiness assessments
  • To provide placement officers with aggregate insights about their student cohort
  • To send transactional emails such as sign in links, account notifications, and product updates you have opted into
  • To diagnose problems and keep the platform secure
  • To improve our scoring models and product features

We do not sell your data. We do not use your resume content to train general purpose AI models that are shared beyond ResumeGrade.

Who we share data with

We work with a small number of trusted service providers who help us run the platform. These include our cloud infrastructure provider, our database provider, and the AI model provider we use for resume analysis. Each of these providers is bound by data processing agreements and may only use your data to provide services to us.

We may also disclose information when required to do so by law, or to protect the safety and security of our users or the platform.

Student resume data is accessible to the placement team at the institution that registered the student. If your university uses ResumeGrade, your placement officer can see your resume score, feedback, and readiness status.

Data retention

We retain your account and resume data for as long as your institution maintains an active relationship with ResumeGrade. If an institution does not renew, we will notify affected users and delete or export data in accordance with our agreement with that institution.

If you would like us to delete your personal data sooner, you can contact us at the address below and we will action that request within 30 days.

Your rights

Depending on where you are located, you may have rights under applicable privacy law, including the right to access data we hold about you, the right to correct inaccurate data, and the right to request deletion. You may also have the right to object to certain processing or to request a copy of your data in a portable format.

Cookies and tracking

We use cookies to keep you signed in and to collect aggregate usage analytics through Google Analytics. Google Analytics data is anonymised at the IP level and is used only to understand overall product usage patterns. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.

Security

We take reasonable technical and organisational measures to protect your data. Access to production data is restricted to authorised personnel, and data in transit and at rest is encrypted. No system is completely immune to risk, so we encourage you to keep your account credentials secure and to contact us immediately if you suspect unauthorised access.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date at the top of this page. If changes are material, we will notify users via email or a notice within the product. Continued use of ResumeGrade after changes are posted means you accept the updated policy.
